Zoho CRM and WhatsApp Business API Integration

Short answer: You can connect Zoho CRM to WhatsApp by having Zoho call Teleopedia's REST API when a record changes, and by receiving WhatsApp replies and delivery status on a webhook that updates Zoho. Zoho is not listed as a pre-built connector, so this is an API integration that your developer or our team sets up.

Below is how the pieces fit together, what you can automate, and what to check on your Zoho plan. For the connectors that are pre-built today, see the integrations page.

What you can automate between Zoho and WhatsApp

When this happens in ZohoSend this on WhatsAppSend back to Zoho
A new lead is createdA welcome template with a link or a questionThe reply, logged on the lead
A deal moves to a new stageA status update to the customerDelivery and read status
A payment or renewal date is nearA reminder template with a payment linkWhether it was delivered and read
An appointment is bookedA confirmation with a reschedule optionThe customer's confirmation or change

How the integration works

  1. Trigger: a Zoho workflow rule fires when a record is created or changed.
  2. Send: the rule calls a webhook or a custom function that makes a request to the Teleopedia REST API with the phone number, the template name and its variables.
  3. Deliver: Teleopedia sends the approved template on WhatsApp. See WhatsApp API integration for the request format.
  4. Return: delivery status and customer replies come back to an endpoint you control through webhooks. That endpoint writes them to Zoho as notes, tasks or field updates.

What you need before you start

  • A WhatsApp Business API account: see account verification.
  • Approved templates for each message you plan to send. See message templates.
  • Customer opt-in, stored in a Zoho field so that workflows only message people who agreed.
  • Phone numbers in international format, for example +91 followed by ten digits.
  • A Zoho edition that supports webhooks or custom functions. Features differ by Zoho plan, so check yours with Zoho before you design the workflow.

Things to plan for

  • Failures: a message can fail for reasons such as an invalid number or an unapproved template. Log the response and review the error codes.
  • Outside the 24-hour window: you can only send free-form replies for 24 hours after the customer's last message. After that, use a template.
  • Security: keep your API key on the server side, never in a browser, and verify who is calling your webhook endpoint.
  • Fallback: for important messages, add an SMS fallback. See fallback routing.

Using another CRM

HubSpot is one of the connectors on the integrations page, and any system that can call a REST API and receive a webhook can be connected the same way as Zoho. If you sell online, see WhatsApp API for Shopify. Teams that want to talk it through can request a callback.

Zoho and WhatsApp integration questions

Does Teleopedia have a native Zoho connector?

Zoho is not on the list of pre-built connectors. You can still connect it through the REST API and webhooks. Ask the team if you want to confirm what is available for your plan.

Do I need a developer?

Simple cases, such as sending a template when a lead is created, can often be set up with a Zoho workflow rule and a webhook. Writing replies back into Zoho, or custom logic, usually needs some development.

Can WhatsApp replies appear inside Zoho CRM?

Yes. Teleopedia sends replies to your webhook, and your endpoint writes them to Zoho as notes, tasks or field updates.

Can I send marketing messages from Zoho?

Yes, to contacts who opted in, using marketing templates approved by Meta. See the WhatsApp marketing guide for what to set up first.
